The Opportunity PAF is seeking a Development Coordinator to join our Events team here in Hampton, VA.
This role is responsible for providing confidential administrative assistance to the Program Development team and responsible for planning various events for the organization.
This person will ensure effective and efficient workflow between the departments and the internal and external clients of Patient Advocate Foundation.
Responsibilities include the strategic promotion and marketing for all events to appropriate audiences, as well as, management of events related to fundraising efforts, staff events, site selection, budget development and management, event timeline development and adherence, and all on-site meeting management functions.
This role qualifies for a hybrid work schedule, working 3 days a week from HOME and only 2 days a week at our Hampton, VA location.
The Ideal Candidate responsibilities include:
Assist the Program Development & Corporate Communications teams with the following duties:
scheduling meetings, calendar and contacts maintenance, meeting preparation and follow-up, and providing administrative support for the Program Development and Corporate Communications teams.
Assist with all administrative tasks (filing, copying, travel coordination, expense report submission, etc.
) for the Program Development team.
Proofread and edit correspondence, including but not limited to fund agreements, donor letters and proposals.
Assist with creating and editing PowerPoint presentations.
Coordinate meetings for Program Development by arranging conference rooms, preparing agendas, meals, coordinating A/V requirements, compiling, and creating folders and marketing materials.
Work with Program Development team to design, maintain and update development prospect sales sheets.
Assembles development informational/presentation packets for prospective and current partner meetings and events to include:
ASCO, Board Meetings, Donor Prospect Meetings, etc.
Monitor media outlets for news and information on philanthropic and outreach opportunities for foundation funders and prospects.
Greets high profile clients/visitors hosted by Program Development department.
Maintains Salesforce database as it relates to Program Development Outreach to include data entry, Thank You Letters, etc.
Assist with special event planning (including galas, workshops, educational meetings, etc.
) preparation and execution, on-site support, vendor/AV coordination, and provide marketing and administrative design support for special events (to include event programs, graphics, donor campaigns, etc.
) and processing of RSVP's, seating, and establishing relationships with vendors and venues.
Responsible for securing event-related sponsorships and/or managing the fundraising functions for Promise of Hope to include sponsorship requests.
Work with appropriate staff to develop and maintain current list of marketing materials, publications, and event collateral, to include booth signage, banners, displays, etc.
Using the expanded analytics provided through Hootsuite software overlay, capture, maintain and compile comprehensive, monthly communication engagement analytics.
Provide layout and graphic design assistance using DIY accessible web-based design tools.
Serves as the backup to the Senior Executive Coordinator when they are out of the office.
Assists Senior Executive Coordinator with Board Meeting preparation and assembly of board materials, and other projects as assigned.
Manages highly confidential and proprietary information.

Strong interpersonal skills and ability to work well with individuals across all organizational levels.
Excellent oral and written communication skills Database management experience (Salesforce) Event management software experience (Greater Giving) Ability to write reports and business correspondence.
Handle high pressure situations while remaining focused on operational goals.
Basic graphic design and layout skills, experience with Publisher, PowerPoint, Hootsuite, VISME, Photo Shop, VIMEO, and Canva preferred.
Ability to change tasks at a moment's notice and focus on new task/project.
Must be very detail oriented and attentive to quality Ability to work independently, retain flexibility and maintain composure under pressure Follows proper organizational channels Ability to travel 3 -5 times per year Required Qualifications Associate degree preferred 5
years of professional experience required 2
years of experience within an administrative role directly supporting high-level executives/leaders Strong working knowledge of MS Office products to include:
