Performs a wide variety of responsible clerical, administrative and technical support duties in a manner that demonstrates a commitment to providing excellent customer service. Some of the work may be complex; some work may require knowledge specific to the Finance Department.
Examples of Duties:
Assists with a wide variety of administrative duties and functions. This may include the maintenance of electronic signature cards for check signing and the printing of checks and distribution to departments; review, distribution and tracking of all travel related invoices; verification of check clearing/endorsements and "stop payment orders.
Utilizes a personal computer to utilize Microsoft Office software to include Word, Excel and Outlook to create a variety of correspondence, spreadsheets and reports. Requires use of a standard business calculator.
Responds to a variety of questions from City employees and citizens.
Coordinates meetings between manager, city staff, and general public. May record and transcribe minutes/notes for meetings, and conferences.
Maintains departmental/division fiscal records, office supplies, contracts for office equipment, inventory, and on-line procurement process records. May coordinate the procurement process.
Actively participates in departmental activities such as planning, problem solving and goal setting. Participates in cross training as required through on-the-job training, formal training courses, and conferences. Maintains up-to-date knowledge of policies, procedures and practices.
Serves as a lead worker and may train other staff as required.
Performs other duties as required.
Typical Qualifications:
Graduation from high school or successful completion of the GED; preferably supplemented by courses in general office procedures, computer science, data entry and/or typing. Considerable experience in responsible clerical work. Requires the ability to efficiently use a personal computer and other office equipment to complete tasks; will be required to complete a skills-based assessment. Requires thorough knowledge of: office terminology, procedures, and equipment; business arithmetic and English; personal computers and software programs. Requires the ability to: read and interpret information; maintain complex records; solve administrative and other problems based on knowledge of established policies, procedures and technical knowledge of departmental operations; maintain effective working relationships with diverse populations. May require a functional knowledge of tools, materials, equipment and suppliers that are specific to an individual department or division.
May be required to possess a valid motor vehicle operator's license issued by the State of Virginia and a satisfactory driving record based on the City of Hampton criteria. Depending on assignment, may be required to successfully complete a criminal history and background check. Any acceptable combination of experience and education may be considered.
Supplemental Information:
Performs duties under the general supervision of the Internal Service Support Manager or designee. Requires the ability to maintain confidentiality of all information; the ability to make sound independent judgments within the context of established departmental and City policies and procedures. Requires dealing with other City departments, the general public and other agencies with tact and diplomacy. May requires duties to be performed during evenings and weekends as scheduled; may require occasional lifting of light weight materials; may require use of personal vehicle for travel within the City. This is a non-exempt position.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
